MHCB Board of Directors Meeting

  1. Called to order at 8:40pm
    • Attendance
      • Board Members: Amanda Jakl, Roger Oram, Jessica Mess, Brian Smith, Risa Wolff, Cristina Baker, Barb Lichtenstein
      • Board Members Absent: Nicole Martino, Tim Hanna
      • Music Directors: Mike Lucas, Rick Mongrain
      • Others: Bruce Thron-Weber
    • Approval of Minutes
      • 10/4/2018 - Brian Smith moved to approve the 10/4 minutes as submitted. Approved unanimously.
      • Other Approvals:
        1. Motion to add discussion for December calendar to agenda-Jessica Mess moved to approve adding discussion for December Calendar to Agenda. Approved unanimously.
  1. Music directors report
    • Mike Lucas: Working on music for concerts for all bands
    • Rick Mongrain: Combo has people floating in and out, new people joining Combo
    • Foster Payne, Assistant Music Director: Absent
  2. Officers Report
    • President - Amanda Jakl: nothing to report
    • Vice President - Roger Oram: We were able to get our music library locked! We have keys to the people who need them.
    • Secretary - Cristina Baker: Bylaws have been read and beginning responsibilities.
    • Treasurer - Jessica Mess: Athena(Librarian) approached the board about purchasing a cart and other office supplies. Estimated total cost of $125. Discussion on budget for Librarian. Action Step: Have Athena send us a list of what she wants and how much.
    • Scholarship Coordinator - Brian Smith: No update
  3. Other Reports
    • Operations Manager - Bruce Thron-Weber: a. Experiencing challenges with online presence and asking for support. When there are events at North High, we can use the practice room at the rear of the band room for intermediate band.
  4. Discussion Items
    • Spring Concert Videos
      • Decision needs to be made to divide out online concert video into multiple video segments. This will make them more user-friendly for viewers. Brian Smith moves to pay the agreed amount ($100) to divide out concert videos.    No discussion.  Approved unanimously.
    • Charity Christmas Concert
      • Roger working with Foster on finalizing details. We are on track for Dec. 8th concert. Possibly 2pm start time.
    • Cloud storage for videos
      • Discussion on backup storage options for videos content as well as music library to be stored on the cloud. Need to have a cloud backup and flash drive back up of our content
      • Action: Cristina to compare cost and storage size for vimeo, google drive, Dropbox to store video and music library
    • Fall concert advertising and programs
      • Discussion on advertising for concerts:
        1. Advertise at Red Rocks for both concerts, the high school might advertise for us, Post online advertising Facebook and other sites, Encourage members to post on their NextDoor Neighborhood App.
        2. Also discussed use for concert programs and how to recycle them. Use a  Recycle box to collect programs from first concert to be re-used at second concert.
      • Scholarships
        • Discuss jobs and jobs description for scholarship recipients
          1. Percussion setup and breakdown
          2. Assistant to operations manager
          3. Librarian assistant
          4. Rehearsal room setup
          5. Rehearsal room cleanup
          6. Concert setup
          7. Concert teardown
        • Action: Bruce to make list of what he needs help with
      • Discussion on Scholarship Criteria:
        • How long to offer scholarships for, How many can we offer, Full or Half Scholarships, Exemption for Students.
          1. Currently About 60 members and 13.5 scholarships
          2. Action: Amanda to pull numbers on our general expenses to find a number of what we can afford to give in scholarship
        • December Calendar
          • December 6th rehearsal will be only for the Edgewater Concert Rehearsal.
          • December 13th - Last rehearsal for 2018 to return music and get new music
          • No rehearsal on December 20th
          • Cristina Baker moved to Change board meeting from Dec. 6th to 13th.  Seconded. No discussion. Approved unanimously.
          • First rehearsal January 10th, 2019 at North High. Board meeting to follow that rehearsal.

    • Thank President Amanda Jakl for all her hard work
    • Amanda Jakl working with Roger Oram on editing bylaws to create more structure
    • Brian to look at scholarship applications to find updates or edits needed.
